Moving into Payfriend

Your history moves in when you connect accounting and bank. Here’s what is imported — and the two decisions you must make.

When you connect your accounting system (e-conomic, Dinero, or Billy) and your bank, Payfriend imports your history automatically. This guide explains what is fetched — and the two decisions you need to make before everything runs on its own.

The windows are deliberately not identical: bank history often reaches further back than the ledger mirror. That is expected.

After your first import you can see exactly what was fetched on your move-in receipt (linked from the “Your move-in is ready” email).

Decision 1 — Reconciliation start

Your reconciliation start (cutover date) is the date Payfriend takes over bank reconciliation. Everything before it is already booked and reconciled in your old system — it should not be reconciled again, so we don’t show it as unmatched work.

Payfriend automatically suggests the most recent day your bank balance and booked balance agreed — usually one click. You set the date under Bank. The reconciliation queue is locked until it is set.

Decision 2 — Adopt reminders

Payfriend never automatically sends a reminder for an imported invoice until you actively allow it. That happens under Invoices → Adopt reminders, where you see unpaid imported invoices and choose which ones Payfriend may follow up on.

  • Dinero: Payfriend already knows each invoice’s reminder step and continues from there.

  • e-conomic: does not store reminder history the same way — you confirm the step when adopting.

Historical documents on old postings

Nothing — unless you want to. Postings from before your move-in do not count toward “missing receipts”: the counter is scoped to the time after import. If an old receipt is still needed for audit, upload it manually under Receipts.

Check that it worked

  • Move-in receipt / “Your move-in is ready” email received (when import finished)

  • Reconciliation start set under Bank

  • You’ve decided on adopting reminders (or deliberately postponed)

  • Reconciliation queue is no longer locked for a missing start date
