Import your budget from Excel

Download the template for your accounting year, or upload your own sheet. You see a preview, and nothing is saved until you confirm.

If the budget already lives in a spreadsheet, Payfriend can read it in. You upload, see how the budget will look, and only then create the lines.

Nothing is saved until you confirm. The preview is only a proposal. Create lines from the spreadsheet is what writes into the budget.

.xlsx only, max 5 MB. Amounts in whole kroner.

Before you start

  • You have a budget for the right accounting year (see Get started with budget)

  • You are owner or administrator

  • The budget is draft or active. A locked budget must be Reopened by the owner first

1. Open Import

Two ways in:

  • When you create the budget: choose Upload Excel, and you land here

  • On an existing budget: choose Import in the menu under Budget

The page is titled Create budget from Excel.

2. Pick a path

The template (easiest)

Choose Download template. The file is built for this budget, so the columns match your accounting year. An offset year (e.g. July to June) gets the right month headings, not January through December.

Fill in:

  • Line: the name (required)

  • Type: Revenue or Cost. Empty inherits the heading above (e.g. “Revenue”)

  • Accounts: account numbers separated by commas

  • One column per period: whole kroner. An empty cell is zero

The “Product sales” and “Wages” rows are examples. Overwrite them.

Your own sheet

If the sheet does not match the template, Payfriend proposes lines, accounts and amounts. Help it by having:

  • line names in the first column

  • one column per month (in order)

  • account numbers, if you have them

The first column must be named Line for the sheet to be read as the template. Otherwise the proposal runs.

A blue notice appears: Payfriend proposed this structure from the file. Check the lines, groups and amounts before you create them.

3. Upload and check the preview

Drop your Excel file here or Choose file.

The preview shows at once. Nothing has been written into the budget yet.

Check lines, type, accounts and amounts. If the budget already has lines, tick Yes, replace the current lines. The import overwrites what is there.

4. Confirm

Choose Create lines from the spreadsheet. Only then are the lines written.

Unknown account numbers are not attached to the line. The line is still created. Rows with amounts but no name are skipped. The preview tells you.

Amounts

Write whole kroner. A Danish thousands separator works: 10.000 is ten thousand, not ten. A comma is the decimal (1.234,50). An empty cell is zero. “kr” and “DKK” in the cell are ignored.

Formulas import as the figure you see in Excel.
