How do documents get into Payfriend?

Through five channels: email, e-Boks Erhverv, payroll, scan/upload in the app, and your own Payfriend forward address.

Written by Nicki Elgaard

Automatic document collection runs through five channels. The goal is one inbox: invoices and receipts land in one place, get classified, and are ready for bookkeeping.

The five channels

1. Email (Gmail / Outlook)

Payfriend scans the inbox for PDF, JPG, and PNG (typically every 15 minutes). On setup, some history can be pulled. We process document attachments — not your other email content as bookkeeping input.

2. e-Boks Erhverv

Digital post is forwarded and classified (invoice, letter, decision, etc.). Invoices are prepared; the system can warn if forwarding stops.

3. Payroll system

After a payroll run in Salary or Zenegy, the payroll document is fetched when the integration is connected.

4. Scan and upload in the app

Photograph a receipt on your phone, drag-and-drop on desktop, or bulk upload. AI reads amount, VAT, supplier, and more.

5. Your Payfriend forward address

Each company gets an inbox address. Forward an invoice, or have the supplier send directly — including when the invoice is in the email body without an attachment.

What happens next?

  1. The document lands in the inbox / document flow

  2. AI classifies (e.g. bill vs. receipt) and extracts fields

  3. Account suggestions — and booking when confidence is high enough (often with a bank match)

  4. Anything that needs you is approved (desktop or swipe in the app)

What counts toward the document limit?

Processed documents you create or scan usually count toward your plan limit — not postings only mirrored from accounting. Details: What counts as a document?.
